Le Grand Jardin Villa’s Terms & Conditions

1. Booking & Payment

  • To confirm your booking: a 50% non-refundable deposit of the total rental amount plus the full refundable breakages deposit is payable within 7 days of making a provisional booking.

  • If the deposit is not received within 7 days, we reserve the right to cancel the provisional booking.

  • The provisional booking will be confirmed once the deposit has been cleared in our account (usually within 7 days of receipt of deposit) and once the completed booking form has been received.

  • The remaining balance is due no later than 60 days prior to arrival. Bookings made less than 60 days prior to the arrival date are required to pay the full amount due (including the refundable breakages deposit).

  • For peak months (November – February), the full balance must be paid 60 days prior to arrival. These bookings are non-refundable.

  • In the event of a cancellation request, we will endeavor to rebook the dates. If successful, we will issue a full or partial refund accordingly.

  • For reservations made within 30 days of arrival, the full amount is payable upfront and is non-refundable.

  • A refundable breakages deposit of R10,000 is required. Breakages deposits will be refunded within 7 days after check-out, pending a satisfactory inspection of the property.

  • Accepted payment method: EFT (Electronic Funds Transfer).

  • All payments must be made in South African Rand (ZAR), free of bank charges. Foreign currency payments may be accepted upon prior arrangement and may be subject to additional transaction fees and bank charges.

2. Occupancy & Day Visitors

  • The villa sleeps a maximum of 12 adult and 3 children.

  • All day visitors (non-overnight guests) must be pre-approved in writing by villa management prior to arrival. 

  • Approved day visitors are charged R350 per person, per day to cover cleaning, staffing, utilities, and general wear and tear. This applies to both adults and children.

  • The R350 day-visitor fee is valid for up to 8 additional guests. Groups larger than 20 total guests at any time are considered an event and subject to additional terms.

  • Note: Monitoring of day visitors is the responsibility of the villa management. If applicable, the tab for visitor fees will be calculated and settled upon check-out.

3. Events & Gatherings

  • Le Grand Jardin is available for boutique events, private celebrations, and intimate gatherings.

  • All event guests and vendors must be pre-approved in writing.

  • For events hosting more than 20 guests on the premises at any time:

    • An event fee of R1,000 per person applies for each guest beyond the 20-person threshold.

    • This fee covers additional staffing, security, cleaning, parking coordination and utility usage.

  • Events exceeding 40 guests require a custom quote and are subject to availability, licensing and venue approval.

4. Event Guidelines

  • Setup is allowed on the event day from 08:00.

  • Breakdown should be completed by 11:00 the following day.

  • For weekday events, same-day or next-morning breakdown (08:00 – 10:30) applies.

  • A villa event management fee of R5,000 will be added per event day.

  • All weddings must be coordinated by a planner from our preferred supplier list, or be pre-approved in advance.

  • Our in-house partner, Strawberry Weddings & Events, offers packages at preferred villa event reduced rates. Their fee will be added to your final villa invoice.

  • Clients must select from approved chefs on our preferred supplier list.

  • The use of the villa’s premium house wines procured from our vineyards at Le Grand Domaine is mandatory.

  • Cut-off time for music: strictly 00:00 (midnight).

  • The property has:

    • One indoor guest bathroom 

    • Two outdoor organic toilets for event use. 

    • Events with more than 20 people (guests) must arrange for additional rental toilets.

    • No smoking or vaping indoors. Designated outdoor smoking areas will be provided.

    • Fireworks are strictly prohibited.

    • Viewings are available by appointment only.

  • No drilling, painting or any damage to any infrastructure or lawns on the estate.

  • Please ensure that your vehicle and all supplier vehicles are parked in the designated area throughout the duration of the event.

  • Guests need to make use of a shuttle, we cannot accommodate more that the villa in-house guests to park inside the estate.

  • All service providers must check in at the villa office before setting up.

  • Access to accommodation is strictly restricted to individuals accompanied by a villa representative or staff member.

  • Delivery and setup of all external platforms such as dance floors, gazebos, tents, draping, and furniture on the lawns are permitted only on the actual wedding day. These items must also be removed on the same day or before 09:00 the following morning.

  • It’s essential that the floor area be thoroughly cleaned both before and after setting up the dancefloor. We prefer the use of clean lukewarm water for cleaning, avoiding any harsh cleaning products or chemicals that could potentially harm our venue floor.

  • A villa maintenance representative must be present when setting up tents or draping that requires pegs on the lawn due to the presence of underground sprinkler systems. Any damage caused to the underground pipes will be the responsibility of the service provider.

  • For lighting setups, only cable ties and clamps are allowed for rigging lights on venue poles.

  • Existing tent cabling cannot be used for rigging lights or flower installations. Tape is strictly prohibited.

  • Service providers are responsible for cleaning up after setup and breakdown, including the removal of cable ties, flowers, and rubbish. Please bring your own black bags for disposal. All service providers must provide their own tools and equipment as the villa does not supply them, including scissors, ladders, and stationary.

  • Setups and collections must be arranged with the villa coordinator at least three weeks prior to the wedding day, particularly for Sunday collections.

  • Please consult the villa coordinator to check if an earlier setup is possible.

  • Villa staff will not move any hired items from one area to another, such as chairs from the ceremony or pre-drinks furniture. Please arrange for your own staff to handle the movement of hired items on the day of the event.

  • The Villa does not offer storage for hired furniture. Therefore, all chairs and furniture hired for the ceremony and pre-drinks garden must be collected on the same day when guests move into the venue. Please ensure that no valuables are left unattended, as the villa does not take responsibility for any loss or damage.

  • Please be aware that the villa is not liable for any damage or loss of outsourced items, such as furniture or lighting.

  • Service providers are strictly prohibited from installing a fire pit within or near the venue under any circumstances.

5. Children & Safety

  • Children are welcome, but must be supervised at all times. 

  • The property includes open water features and other natural elements. 

  • The safety of children remains the sole responsibility of parents or guardians.

6. Load Shedding Disclaimer

  • We are not liable for any disruptions, damages or failures resulting from load shedding or power outages. 

  • We recommend appropriate planning for backup power where necessary.

7. Indemnity & Liability

  • Guests use the property and its facilities entirely at their own risk. Le Grand Jardin Villa, its owners, staff, agents and affiliates are not liable for any loss, injury, illness, or damage incurred during the stay, regardless of the cause.

  • By confirming a booking, the client agrees to indemnify and hold harmless Le Grand Jardin Villa and its representatives from any claims, demands, or liabilities arising from personal injury, property damage, or third-party claims related to the use of the premises.

8. Photoshoots & Filming

  • Le Grand Jardin Villa is available for private photoshoots, styled shoots and film productions upon prior arrangement and approval.

  • All shoots must be pre-approved in writing and require a separate location agreement. A daily shoot fee will apply depending on the nature, size, crew and impact of the shoot.

  • The use of the villa for commercial purposes (including influencer content, brand campaigns, editorial features or product photography) without prior written consent is strictly prohibited.

  • A detailed shoot plan, including dates, crew list, intended areas of use, and content type must be submitted for approval. Rearranging furniture or decor, installing lighting equipment or altering the interior/exterior in any way is not permitted without express written permission.

  • All equipment must be handled with care. Any damage, stains or breakages incurred during the shoot will be deducted from the security deposit, or invoiced separately if the cost exceeds the deposit.

  • Overtime is charged at 10% of the full-day rate per hour for any additional hours spent beyond the hours prescribed for stills shoots. This rate applies to both half-day and full-day shoots.

  • Shoots with more than 8 crew members may be subject to additional cleaning, security, or coordination fees.

  • Use of Le Grand Jardin’s name, image - or branding in published content - requires prior approval and may be subject to licensing.
